Add relationships

TrustForm allows you to comprehensively manage data related to various stakeholders connected to an applicant.

TrustForm not only collects data about the main applicant but also captures information about all relevant relationships, such as:

  • Authorised persons

  • Controlling persons

  • Directors

  • Shareholders

  • UBOs

This ensures compliance with regulatory requirements and provides a complete view of all relevant relationships. You can add and manage data about these relationships within the TrustForm platform.

Adding a Relationships

  1. Navigate to the Applicant's Profile:

    • Log in to your TrustForm account and access the applicant's profile.

  2. Add Information:

    • Find a relevant relationship type, e.g., Director, and click "Add director."

    • If the entity/person is already present in the system, choose "Existing entity" tab. The system will pull the relevant profile, without you having to duplicate the data.

    • For new entities, choose the entity type, e.g., individual or corporate

    • Fill in the required fields, such as full name and address for individual directors, and company name and address for corprorate directors

    • Upload any relevant documents, such as identification or proof of directorship.

    • Run any relevant background checks, as required by your internal processes and KYC/AML procedures.

Viewing and Managing Relationships

  1. Access Relationship Data:

    • Navigate to the relevant relationship tab within the applicant's profile.

    • Here, you will see a list of all relationships (directors, shareholders, authorised persons, controlling persons) and the relevant information about them.

  2. Visualise Ownership Structure

  • TrustForm allows you to see a visual representation of the account structure and all related entities, such as directors and shareholders

  1. Edit Relationship Data:

  • Click on the relationship entry you wish to edit.

  • Update the necessary information and click "Save."

  • Feel free to leave any comments as required.

  1. Remove Relationship

  • Click on three dots next the relationship entry you wish to remove.

  • Press "Remove connection" and confirm the removal.

  • The relationship will be disconnected from the account but not deleted from the system

Frequently Asked Questions (FAQs)

Q: What types of documents are needed for verifying relationships? A: Documents such as identification, proof of directorship, proof of shareholding, and proof of authorisation/control are typically required.

Q: Can I add multiple relationships for a single individual or company? A: Yes, you can add multiple roles for a single individual or company if they hold more than one type of relationship with the main applicant or other applicants. Use "Existing entity" tab to connect profiles already existing in the system, withoout having to dupicate the data.
